One of the world's largest investment companies (Zuidas) is looking to employ a temporary Executive Assistant (fulltime/ hybrid) to support the local team in the Netherlands office. In this capacity, you will have full ownership of the agendas of the team, to make sure their calendars are organized in the most efficient and effective way.

This is a unique opportunity to get a peek behind the scenes of one of the world’s largest investment companies.

As an Executive Assistant within this company, there are many opportunities to explore and multiple challenges that you will have to face. We are looking for a flexible, very service-oriented and independent person who is available for 40 hours a week.

What you will do as a Freelance Executive Assistant for investment company

  • Provide a warm welcome for external visitors
  • Manage calendar and travel arrangements of the team, coordination, and planning
  • Planning and booking business trips, registration for upcoming industry conferences
  • Prepare and organise meetings, prepare meeting materials, taking notes (Action items), order catering
  • Prepare and review expense reports (Concur)
  • Print, scan documents with wet signature and/or using Docusign
  • Maintain confidentiality of highly sensitive data
  • Ad-hoc administrative activities
  • Liaising with EAs of external counterparties and former clients to arrange meetings
  • Answer and monitor call and emails (in Dutch and English)
  • Organise gratuities, gifts and occasional dinner
  • Back up for local office manager

What you need to succeed

  • Full time availability (40 hours a week)
  • A minimum of 3 to 5 years working experience in a comparable position (preferably at a financial company)
  • Excellent knowledge of MS Office
  • Excellent knowledge of Dutch and English
  • Service focused and flexible
  • Great communication skills
  • Curious and pro-active
  • Professional attitude and representative
  • An eye for details, stress resistant and independent
